Parent Manual

Welcome

Welcome to the LakeView RecPlex/ IcePlex Summer Day Camp program. Our mission is to provide a positive program for children aged 2 - 14 years that inspires creativity, a desire to learn new things, and most importantly, a fun summer. Our summer day camp programs, Preschool, Explorers, Discovery, offer a year-round learning opportunity along with wrap-around care.

We are located at 9900 Terwall Terrace in Pleasant Prairie. We are governed under the Village of Pleasant Prairie, but are a separate business entity of the Village. In other words we are self-sustaining and do not use the taxpayer dollars to help support our building. All revenue is generated through membership dues and program fees. The summer day camp programs will run from 6:30 am until 6:30pm; we also offer half day options. Weekly registration is required for all programs.

Our goal is to provide a well-rounded, fun, learning experience for all children. The program is all-inclusive and serves children of all abilities. We accept enrollment of any child with no regard to his/her race, color, gender, religion, or background.

American Camp Association

Our Explorer program is accredited through the American Camp Association. The ACA is a community of camp professionals who, for nearly 100 years, have joined together to share our knowledge and experience and to ensure the quality of camp programs. Because of our diverse 7,000 plus membership and our exceptional programs, children and adults have the opportunity to learn powerful lessons in community, character-building, skill development, and healthy living - lessons that can be learned nowhere else.

Enrollment and Tuition

The summer day camp program offers a weekly morning and afternoon program or an all day program. Fees are for the week; unless signed up for individual days. Fees for half days include one snack and drink. For full days, the fee includes morning and afternoon snack and drinks.

Upon enrollment the parent/guardian must fill out medical and information forms. The medical paperwork informs the staff about the child. Information covered on this form will include allergies, medications being taken, and hospital choice in case of an emergency. The information form tells the staff who you would like contacted in emergencies, where and how to contact them, who can pick up and drop off children, and other personal information in relation to the parent/guardian(s) as well as the child. These forms will be given to you by guest services when you register. The paperwork will only be seen by staff members, the program director, respective parent/guardian(s), and in emergency situations, medical personnel. The information will be kept confidential.

Payments and Deadlines

Payment for camp is due ten days prior to care requested. Payment can be made by cash, check or credit card. payment can be made at the front desk, in the drop box in the RecPlex vestibule, online or by mail.

Payments must be received by 8:00pm on the payment deadline date or a $10 late fee will be incurred. Continued abuse of the late policy can result in removal from the day camp program.

Fees and Payments

A one-time, non-refundable enrollment fee of $30 per child is required at the time of registration. Parents are required to fill out annual information forms that are kept on file. These forms give the staff a better understanding of your child and his/her needs.
** Our facility operates as a pre-pay only.
**Registration must be made two weeks prior to enrollment with the deadline being Friday.
(see payment schedule page.)

Refunds: We do not offer refunds for missed care. Due to the limited number of spaces for each child and our staffing ratios, we cannot provide refunds. Register only for the care needed. If you do not intend to send your child for a week of care, you do not need to register for that week. Refunds will not be given for care that is registered for but not used. We do realize special circumstances arise and those situations will be decided on a case by case basis by the area director.

The Village of Pleasant Prairie accepts several forms of payment including cash, check, or charge. All checks should be made payable to The Village of Pleasant Prairie. All payments should be made at the Guest Services Desk. Summer day camp staff will not take payments. All payments are to be made promptly. Any account that falls two or more weeks behind will terminate the child's enrollment from the program.

Withdrawal or Termination

A child can be removed from the program in the following ways:

  1. By the parent. (a two week notice is required and there is no refund for unused care or deposit)
  2. By the center if
    1. The child's needs are not being met
    2. Parents/child does not follow program policies
    3. The Director and staff find the child's actions threaten the health or safety of other children/employees.
  3. By mutual consent
    1. The Director and parents decide the child will be better served elsewhere.
  4. Verbal or physical abuse towards staff or teachers from parent/guardian or child
    1. Any abuse will not be tolerated and is considered immediate grounds for dismissal from the program.

Staff

The summer day camp staff is all CPR?First Aid/AED trained and have a wealth of knowledge and understanding when working with children. The summer day camp staff strives every day to make your child feel welcome and part of the program.

Our staff have all been thoroughly screened and interviewed to ensure the highest quality staff are instructing and caring for your child. Each staff member has passed a thorough background check and gone through an employee orientation program. They are part of the team that provides the utmost quality care and instruction for your child. Staff takes a lot of pride in their work and tries to create an atmosphere for optimal learning for each child. Our program is staffed at or below the ACA set camper to counselor ratios. This provides your child attention and supervision while participating in the program.

Safety/Security

Our hope is that parent feel completely safe and comfortable leaving their children in our care. To support that comfort level, we readily encourage parents to visit the facility at any time. As a safeguard for the children in our program, no child will be released without being signed out of our program by someone authorized by the parent to do so. Please list on the enrollment form, anyone who may be picking up your child. Also, expect to show a picture ID for verification. This includes parents who may use carpooling or relatives as alternative persons of pick up. This is for the safety of each child and we appreciate your understanding of this safeguard.

Our site does have video cameras on-site for added security. The cameras are for safety reasons only. The Village of Pleasant Prairie reserves the right to share the video with parents when deemed necessary and in instances of confidentiality. We do carefully screen our employees and strictly follow state-child ratios.

All teachers and staff are trained in policies and procedures of the LakeView RecPlex and Village of Pleasant Prairie and are expected to reinforce these practices with the children and parents. If at any time you have a question, please ask a staff member for clarification.

Pets

Students are prohibited from bringing pets to the RecPlex/IcePlex.

Paramedics

It is important that a paramedic is called whenever an employee or participant is injured and required medical attention beyond that of first aid.

If the injured party is a minor, under the age of 18, a parent/guardian must be called. If the injury is of a serious nature, such as severe bleeding or stopped breathing, the paramedics will be called first and then the parents. If the parent cannot be reached, the supervisor will decide if a paramedic will be called or not.

In an event of an emergency the child will be taken to the closest hospital which is St. Catherine's Medical Center Campus 9555 76th St. Pleasant Prairie. The phone number is (262)577-8202.

Daily Arrival/Departure

A parent/guardian/authorized person MUST accompany the child to and from the RecPlex/IcePlex and bring the child to the appropriate room. The parent must sign the child into or out of the program. Any person not authorized on the child's annual information form will not be allowed to pick up the child. WE WILL NOT SEND YOUR CHILD WITH ANYONE THAT IS UNAUTHORIZED. If someone new will be picking up your child you need to submit a letter to the lead counselor. NO VERBAL OR TELEPHONE AUTHORIZATION WILL BE ACCEPTED.

Our camp will start at 6:30am and run until 6:30pm daily, however structured activities will only run from 8:30am to 4:30pm..

If you find that you are unable to pick up your child by the designated time, please call the RecPlex at (262)947-0437 to let them know. Without a phone call you will be charged a $15 fee.

Drop offs/Pick ups: Children must be dropped off and picked up, in person by an adult. When a child is not picked up, all attempts will be made to contact someone authorized for pick up, however, any child not picked up by 7:00pm will be transported via police squad to the Pleasant Prairie Police Station located at 8600 Greenbay Rd, (262) 889-4455.

Absent or Sick Procedure

If your child is sick or will be missing camp for any reason please notify the camp staff by either calling the front desk or notifying the lead counselor in advance. If a student is not in attendance, staff will check with the front desk for any parent calls regarding a child being absent. Staff will verify student attendance several times through out the day with roll call check off from the attendance sheets.

Evacuation/ Tornado Procedures

Signs are posted throughout the building for safety. In the event of a real fire, parents will be notified immediately to come and pick up your child. In the event of a disaster, parents will be notified of when and where their child can be picked up safely.

Health and Safety

Health and safety are the foremost in our care for your child. Staff is all trained in proper sanitary practices that are re-enforced with the children. This includes proper hand washing, and care for belongings. We cannot maintain a high level of cleanliness and health without our help. Please adhere to the following policies.

  1. An information form with emergency contact information including persons allowed picking up your child. (Children will not be released from the program without being signed out. When someone else is picking up your child, a signed note must be submitted and the person picking up the child is expected to have identification. The child will not be released without a staff member seeing identification.)
  2. Children who take medication must submit a signed medication form with the prescribed medication submitted in a labeled medical bottle with the dosage, Doctor and instructions clearly marked. The Doctor must sign a letter confirming the dosage amount and type of prescription. Children taking medicine regularly in our care MUST update their medication dispensing every 90 days!
  3. These forms must be updated annually.
  4. Children will be sent home from the program if there is indication of any of the following symptoms:
    1. Fever of 100 degrees or higher
    2. Skin eruptions or rash
    3. Constant cough or runny nose
    4. Severe chest congestion
    5. Vomiting
    6. Evidence of extreme fatigue
    7. Severe diarrhea
    8. Any contagious communicable disease
    9. Discharge from the eyes or ears
  5. Children may re-enter our program as long as he/she is free from persistent fever, vomiting, diarrhea, discharge from the eyes or ears, or they are no longer contagious to others. Children must be free of these symptoms for 24 hours prior to readmittance.
  6. If a child contracts a communicable disease, parents are notified with a letter home. If your child contracts a communicable disease, it is essential that this information be reported to the teacher, the director , and the health department immediately.

If a child becomes ill while at the summer day camp program, a parent must pick up their child as soon as they are notified that their child is ill. In cases when the parent cannot immediately pick up the child, but are sending someone else, the parent must provide the name of the individual. That person must show identification in order for the child to be released.

Medication

Staff is trained in proper medication administration. In order for medication to be administered, parents are required to fill out a medication form allowing a trained staff to administer the medication. All medication is required to be labeled with clear instructions on dosage in the original prescription bottle. Any non-prescription drug will be administered with a signed written release. All medications will be stored in a locked medication box. Any medication that is administered is logged and recorded. All medicine distribution forms must be updated every 90 days.

Confidentiality

All records are kept confidential. Any person having access to these records may not discuss or disclose personal information regarding the child or the family. This does not apply to parents or persons authorized in writing by the parent to receive information on behalf of the child.

Photo Release

The LakeView RecPlex often takes photographs of the participants enrolled in our programs. These photographs are used in photo albums, the Play-By-Play, brochures and pamphlets, and promotional ads created by the Village of Pleasant Prairie and the LakeView RecPlex. All pictures once taken become property of the Village of Pleasant Prairie and the LakeView RecPlex. If you do not wish to have your child photographed, we must be notified in writing of your wishes. By your request the LakeView RecPlex will make a diligent effort not to photograph you child.

Meals

Every day the campers will eat lunch sometime between 11:00am and 1:00pm. Lunch usually will last an hour long. If your child comes on 1/2 days it is up to you to decide when you would like to provide your child with lunch. If you would like your child to eat hot lunch he/she must pre-order his/her lunch in the morning with a camp staff member.

If your child does not have a lunch for the day there are two things we will do. First, we will call the parent/guardian to see if they can bring one by. When the parent/guardian is unable to drop off a lunch, we can order them something from the concession stand and whomever picks up the child that day will need to reimburse the staff upon pick up. Please understand that the second option is in emergency situations only. This is not meant to be a habitual or a continual reason to send your child/children without a lunch.

Snacks

Snacks will be offered twice daily; once in the morning and once in the afternoon, If your child does not like the snack that day, he/she is welcome to bring his/her own. Along with snacks, children will receive a beverage, but additional liquids are recommended to be sent with your child.

Special treats are allowed on special occasions in addition to the regular snack, but only those that are store bought and unopened in the original package. We are not able to serve any snack or treat that is homemade.

*Any child with food allergies must indicate so on the annual information form. Children who have dietary restrictions for any other reason must also document this on the annual information form. Substitute snacks will need to be provided by the parent.

Transportation Procedures

Each staff will have updated list of all students and staff being transported to and from site. Staff will visually look at each student being put on the vehicle and place the child in the appropriate safety restraint as required by the State of Wisconsin. Staff will double-check the safety belt of each child prior to starting the vehicle. All students and staff are required to wear a safety belt and it is both the staff and the driver's responsibility to ensure that each person is secured by a safety belt. Belts will be worn at all times while the vehicle is in motion. When one staff member is driving, the other staff member will monitor the children in the back of the vehicle. At the destination site, staff members will assist each student off the vehicle and keep the children together in a group. The list of students and staff will be reviewed visually and verbally again to ensure that all students and staff are present and accounted for.

Transportation Procedures For Children With Special Needs

  1. Any child who is able or can assist with transfer or be reasonably moved from a wheelchair, stroller, or special seating device should be moved to a child restraint system complying with FMVSS213 (Child Restraint Systems). Unoccupied wheelchair should also be secured to prevent it from being a dangerous projectile in the event of a stop or a crash.
  2. All children weighting less than 50lbs should be secured in an appropriate child restraint or safety vest meeting the requirements of FMVSS213.
  3. Child safety seats or safety vests must be secured to the bus seat in a manner prescribed and approved by the manufacturer of the safety device. the child restraint should not be secured on a school bus seat adjacent to an emergency exit.
  4. Occupied wheelchairs should be secured in a forward-facing position.
  5. Wheelchairs should be secured with fastening devices that are attached to the floor. Any occupied wheelchairs should be secured with a 4-point tie down device.
  6. Lapboards and trays attached to the wheelchair should be removed before loading and be secured separately for transport.
  7. Three-wheeled, cart-type units and other wheelchair or stroller-type devices are not permitted for occupied transport in a school bus unless impact test results indicate the device can be secured under impact loading conditions.
  8. All children will be checked on and off of the bus using a daily roster.
  9. The driver and assistant will check all children for safety belted and ensuring that safety seats are properly secured.

Field Trips

Our summer day camp will be taking weekly field trips. Students are not required to attend field trips and can choose to not participate. Any child present on the field trip day but not enrolled and paid for will not be allowed to go on the field trip.

Clothing

Parents are encouraged to label all belongings' with their child's first and last name. We spend the majority of our day outside so please provide your child the appropriate weather attire for outdoor play.

On your camper's designated skate day please provide long sleeves, long pants, and socks, or your child will not be allowed to participate.

Personal Belongings/Toys

The LakeView RecPlex will not be responsible for any lost or misplaced items brought to the center. Children are not allowed to have toys at the center. We will not be responsible if another child is injured from a toy that is brought into the facility. If a child does bring in a toy, it will be placed with your child's counselor or the area director and will need to be picked up by a parent or guardian at the end of the day. Please help us enforce this policy for the safety of all the children.

Mandatory Reporters

The state of Wisconsin requires that all childcare providers be mandated reporters. We are required by law to report any suspicious behavior or signs of abuse or neglect to the state. As childcare workers we are required by law to go through this training every two years. The Village of Pleasant Prairie requires it every year to ensure we are up to date on the most current policy and procedure in this area. Our staff is trained annually on mandatory reporting.

Please be sure to put the campers name on everything that they will be bringing to camp, including their lunch. Items that are labeled are easier to locate in rooms and in the lost and found. A permanent marker does a good job since it is waterproof.

Recreational Swim

Your child will have the opportunity to participate in a recreational swim at least 3 to 4 days per week. The time and location may vary depending on age group. We will be utilizing both the RecPlex swimming pool and the Lake Andrea beach. Although all campers must go to the swimming area, entering the water is optional and only with parental permission. If you do not want your child to enter the water, please inform the camp supervisor in writing. Your child will then take part in another activity at waterside until swim time is over.
